COVID-19 REFUND COMMITMENT – Further details

  • During the COVID pandemic situation, most of trusted hoteliers agreed offer flexible cancelation or amendment policy during the COVID pandemic season travelers. We amended cancelation policy up to 14 days and cancelation charges will not apply if you can cancel 14 days prior to arrival.
  • ZERO “0” cancelation policy–in case if you COVID positive patient, then we will allow you to postpone the reservation maximum 3 months period. But if you looking postpone over 3 months period, then you might need to pay additional charge reservation period changes. For instance, if your existing reservation for USD $100 for 20th Dec 2021 but if you extend the reservation next year 20th December 2022, if same hotel price increase as USD 110 then, you need to pay only cost difference.
  • Whatever reason, if Sri Lanka or that you traveling destination, lockdown because of spreading the COVID pandemic, then we will wave off the 100% of the cancelation charges.
  • You must contact your travel insurance provider in the first instance to find out if they offer cover for COVID-19 related reasons, and if your circumstances qualify for a claim to be made with them.
  • You must notify us of your need to cancel for a COVID-19 reason as early as possible (and at the latest 24 hours before your scheduled departure), and must provide us with appropriate written official evidence of the COVID-19 reason. Please note that evidence must be provided, so if you have what you believe to be COVID-19 symptoms, you must arrange and take a test as soon as possible. In the event that there is insufficient time to take a test before your departure on holiday, please call us by telephone or contact us by e-mail as soon as you can so that we can discuss your options with you.

03. How to finalized the booking?

Based on that you wish to spend or cycling in Sri Lanka, you can select an interesting cycling tour out of that we listed alternative cycling holidays in Sri Lanka.

After the itinerary selecting, we will customize starting time, distance, other activities and hotels. Once we fine-tune the Sri Lanka cycling itinerary and you will receive the “Customer Information sheet” it is cycling-related information such as height, meal allergic, helmet size, emergency contact detail and etc.

We will check the hotel availability and if not, we will offer alternative hotels. Then 100% confirm the hotels, My Ceylon Adventures Pvt Limited will forward the invoice. Once you make the payment, we will process the hotel reservations and logistic allocation for your cycling tour in Sri Lanka.

04. How Cycling tour operation takes place? Do we outsource the service?

My Ceylon Adventures and Bike Tours in Sri Lanka cycling operation and some other activities such as Rafting, abseiling, whale watching and trekking will conduct by in-house operation team.

Hotel accommodations and transport may hire by trusted service suppliers but we will be liable for service delivery to our valued customers.

05. Acceptance of Booking Conditions and Customer Agreement.

Your booking contract is with My Ceylon Adventures (Pvt) Ltd Company. Holiday planning and operations are carried out by My Ceylon Adventures (Pvt) Ltd Company.

Any use of the www.biketoursinsrilanka.com website, or written communication with My Ceylon Adventures, for the purposes of travel arrangements, confirms that you are aged 18 or over and that you have read and fully accept these booking conditions. These booking conditions are devised for the protection of all parties.

06. Payment terms and confirmations.

Bike Tours in Sri Lanka and My Ceylon Adventures process the reservation upon your payment.

You can make the payment initially 20% of the total value of the invoice to process the reservation and the remaining balance needs to pay prior to 14 days of arrival.

For Peak Season reservations need a minimum 50% of total invoice value for process the reservation. Peak seasons (20th December – 28th February) and 15th July to 30th August. 

07. Methods Of Payment.

You can make the payment through credit card through the www.myceylonadventures.com website. If you are going to make the credit card payment, you need to pay additional 3.5% bank service charge. We are accepting Amex, Visa, Master, etc.

Bank transfers–we always encourage make the payment through your bank as fund transfer, because we can wave off the additional bank charges, comparative to your credit card payment.

We will forward the accounts details along with the invoice.

08. What kind of currency do we accept?

You are feeling free to pay any convenient currency for you and we will invoice in USD $ and you can convert into your currency value and you can pay that we invoiced amount.

09. Our Accountability.

As a responsible tourism company, we are applying 3 S method. It is Satisfaction, Safety and Sustainability.


We will concern the offer right experience about the cycling and deliver something extra than we discussed. We believe that might help us delightful our valued customers. “Satisfaction” process starts from your initial inquiry and we will customize the cycling holiday itinerary until become comfortable. Then, along with the “Customer Information sheet” we will fix the right frame according to your height, weight.

Third party service and hotel accommodation

Cycling and other spice up activities provided by Bike Tours in Sri Lanka (My Ceylon Adventures). We are liable to deliver that we communicated cycles, cycling trail. Other activities. Every – day ends our cycling crew will discuss with you previous day cycling programme. Then you have an idea about the next day scheduled and we highly concern every little thing for effect your experience.

We will not change the hotels while you are in cycling tour or without your knowledge. Still, if you feel you did not receive the right service from hotel or third part service, then we will stand with you and we will make an inquiry immediately with the relevant part. Sometimes if it is serious service lapse, then you might be able to claim service refund as well.


We highly concern leave the Sri Lanka with thousands of smiles, positive thoughts of the country and people. Every day prior to start the activities safety briefing given by cycling team or activities organizing team, you need to follow the safety and health factors. Your responsibility is protecting the money, jewelry or other valuable things while you are staying at hotels. But while you cycling, you can keep them at our vehicle and you need to inform value of the things to our driver.

10. Amendments and Cancellations.

My Ceylon Adventures apply flexible cancelation policy. Except for the COVID pandemic period, regular cancelation and hotel reservation amendment policies are as follows.

  • Before 30 days of traveling – ZERO charges of cancelation or amendments.
  • 30 Days less cancelation charge 10% of the total cost but there is no cost for amending (only 1 time)
  • 30 days – 25 days of traveling – 25% of the total cost and no amendment allow.
  • 25 days – 20 days of travelling – 50% of the total cost.
  • 20 days – 15 days of travelling – 75% of the total cost.
  • 14 days and less – 100% of the total cost concern as cancelation charge.

By the way above, cancelation policy is applicable only none-pandemic period. Hence COVID pandemic ends, above cancelation policy may not apply.

11. Health. Passport and Visas.

It is your responsibility to ensure that you and other members of your party obtain the right inoculations and medical advice before you travel. Similarly, it is your responsibility to ensure that you and other members of your party have correct and valid passports, visas and have conformed to all other requirements pertaining to your travel arrangements before the holiday commences.

Should you require assistance on this matter, we will be pleased to make recommendations. We will not be held responsible for your traveling without the correct travel documents.  


12. International and Domestic Air Booking.

Reconfirmation of flight bookings is your responsibility. As Travel Arrangements may be booked to connect with international and domestic air flights, it is your or the travelers’ responsibility to keep us updated as to flight times and numbers.

13. Travel Insurance.

You are strongly recommended to take out personal travel insurance, at the time of booking, for all members of your party. It is your responsibility to ensure that the insurance you purchase is adequate. Booking acceptance shall be deemed to include your confirmation that you have taken out such insurance. If required, My Ceylon Adventures can also provide you with personal travel insurance for the time spent on the island. Please contact us for further details.


We will only accept liability for incidents that arise as a direct result of our proven negligence, or that of our suppliers, in respect of arrangements forming part of your holiday itinerary, in cases where all your holiday accommodation and transfers are arranged by us for the entire extent of your stay. This applies to illness, injury, and/or death.


We act only as a co-ordinator in instances where only part of the holiday itinerary is arranged by us for all passengers (including You) with respect to services provided by certain underlying operators, including hotels, lodges, restaurants, road transport providers, professional guides, air charter services, boating, rafting, kayaking, bush walking, trekking and climbing activities. All bookings with Us are therefore subject to the limitations of liability imposed by the underlying operators/suppliers involved in Your Travel Arrangements and My Ceylon Adventures cannot be held responsible for the failure of any component of the holiday for which We do not have direct responsibility. This includes any difficulty in finding hotels if customers choose to book accommodation-only deals and arrange their own transport.

There are circumstances where it is impossible to fulfill the contract as a result of war, the threat of war, riot, civil strife, industrial dispute, terrorist activity, natural or nuclear disasters, fire or adverse weather conditions, and all similar events outside our control. In these circumstances, we shall not be liable for compensation where we are forced to cancel, delay, curtail or change your holiday in any way or where our performance of the contract is affected or prevented. We assume no responsibility for any loss, damage to baggage, property or for injury illness or death or for any damages or claims however so caused arising directly or indirectly from accidents, loss or damage to person or property, delays, transport failures, strikes, war, etc. or any other loss arising from or pursuant to Your Travel Arrangements.

We accept responsibility for ensuring the holidays which you book with us are supplied as described and that the services we are contractually obliged to provide are to a reasonable standard.

We work with different operators and service providers for accommodation or other services and facilities which you will be using and changes may occur. Occasionally, especially during the low season, certain facilities may not be open or available because of maintenance, weather conditions, power cuts, and lack of demand or for other reasons. In such circumstances, we cannot be held responsible for advertised facilities being unavailable.

There may be instances where alternative accommodation or services may need to be provided. In such instances, we will ensure this is of a similar or superior standard.

Breakages and Damages

You will be responsible for any breakages, losses or damage caused by you or a member of your party during your stay in the accommodation. It is your responsibility to put right the damage or to make full payment to the supplier before departure and to indemnify us against any losses, damages or claims made against us.


You are responsible for compliance with all relevant regulations governing carriage by air or any other mode of transport and your stay during your holiday. If in the opinion of our suppliers/service providers and/or guide representative your behaviour is disruptive or causing distress, injury or danger to other clients, our staff or any other third party, your holiday may be terminated and we shall not be responsible for any costs or claims that are incurred.


If any of these Booking Conditions are invalid or unenforceable then subject to law, all other provisions of these Booking Conditions shall be and continue to be valid and enforceable.


When your booking is confirmed with us, a contract between My Ceylon Adventures and / or you is constituted. That contract and these Booking Terms and Conditions shall be governed in all respects by the laws of Sri Lanka.  


We would wish to resolve amicably any reasonable complaint that we receive relating to the standard of your travel or accommodation arrangements. However, you must try to resolve any complaint immediately that you have with the strategic alliance of the service direct (i.e. the accommodation owner, airline or individual service provider) while also at the same time keeping the My Ceylon Adventures representative and travel counselor who handled your booking informed of all such complaints as and when they arise.

If your complaint cannot be resolved locally you must follow this up by writing a formal complaint letter to us within 28 days of your return home incorporating all other relevant information. It is a condition of this agreement that you communicate any problem to the supplier of the service/s in question and inform the relevant My Ceylon Adventures representative and travel counselor who handled your booking and if still not resolved then follow this up with a written complaint. If you fail to follow this simple procedure we cannot accept responsibility as we have been deprived of the opportunity to investigate and rectify the matter.

We are always looking for ways to improve our service and our products and as your feedback can help us to do this we will provide a Customer Survey for your completion.

Exclusion of Liability

My Ceylon Adventures does not guarantee that all information available is free from errors or omissions but we will use all reasonable endeavors to correct any errors or omissions once notified of them. Our opinions are our own. Whilst we rigorously strive for accuracy, these opinions are necessarily subjective to some degree. All recommendations, opinions expressed and prices regarding properties and/or destinations displayed are provided for guidance only. You agree as the user that the use of, or reliance upon, any of the content of the My Ceylon Adventures website, and in particular any content recommending any hotel, product or service, is done entirely at your risk. (Including content in subsequent itinerary documents sent to you) Our website contains links to websites operated by parties other than the My Ceylon Adventures. Those links are provided to you for your reference and convenience only. We do not own or control the content of those websites and are not responsible for their content or your use of them.

We have endeavoured to portray and describe each hotel and/or service as best we can and also to provide the most up-to-date information through our website and other communications with you to the best of our knowledge.  

We cannot be held liable for any discrepancies or differences that might arise between the content of our website (text, images, etc), any communication sent to you (via email, fax etc), and the actual property you are accommodated at or the service you are extended.  

Information Provided by You

All information provided by you should be true and accurate. We will treat it confidentially and not forward it to any third party. We have a strict anti-fraud policy and take responsible steps to protect personal information, such as credit card details. 


My Ceylon Adventures, under no circumstances, recommends or guarantees the value or the quality of any additional product not clearly itemized on the Travel itinerary which may be purchased during an itinerary arranged in part or whole by US, even in the case where the product may have been discussed between a client and an employee or representative of My Ceylon Adventures. Determining the value of a product is entirely the client’s responsibility. My Ceylon Adventures has no duty to intervene in such circumstances and cannot be held responsible for subsequent complaints.


You agree to defend and indemnify My Ceylon Adventures, its affiliates, and/or their respective suppliers and any of their officers, directors, employees and agents from and against any claims, causes of action, demands, recoveries, losses, damages, fines, penalties or other costs or expenses of any kind or nature including but not limited to reasonable legal and accounting fees, brought by: (i) you or on your behalf in excess of the liability described above; or (ii) by third parties as a result of (a) your breach of this agreement or the documents referenced herein, (b) your violation of any law or the rights of a third party, or (c

Electronic Communications

You communicate with us electronically whenever you visit our website or send emails to us. You consent to receive communications from us electronically and by fax. You agree that all notices, disclosures, agreements and other communications that we provide to you electronically or by fax satisfy any legal requirements that communications be in writing.  

My Ceylon Adventures (Pvt) Limited makes no representations or warranties, and hereby excludes all warranties, express or implied, as to the quality, accuracy, feasibility or credibility of the content of the My Ceylon Adventures website or of any goods or services offered on the site. Moreover My Ceylon Adventures (Pvt) Limited accepts no liability for any virus or any other type of electronic infection that may be transferred through the site. Under no circumstance will we be liable for any loss or damage caused by a user’s reliance on information obtained through this site.  

We do not take responsibility for consumer comments made in interactive areas of the website, but we do reserve the right to moderate them to comply with Sri Lankan law.
